Miradi teams working in Miradi Share program spaces may set up redaction rules to define private data fields. This is usually done when teams need to manage sensitive information with restricted access (e.g. financial data or property addresses), or when teams want to use specific data fields (e.g. Comments) for internal team communications. (This capability is not available to Standalone projects.)
- Anonymous users (those who haven't logged in to Miradi Share) and users whose roles are Program Viewer or Project viewer cannot view data in private data fields. All other roles (owner, manager, admin, editor, partner) can view data in private data fields. Learn more about Project and Program User Roles.
- Private data are not displayed in Miradi Share reports (e.g. Data Views) for users who do not have permission to view private data.
- Private data are not included in downloads performed by users who do not have permission to view private data, this includes downloads of spreadsheet data (.csv or .xls files) or report document exports (.doc files). (Only users who have access to private data can check-out a project. The system will reject a project file for check-in if it was redacted to not include private data fields.)
The items that are private are defined by each program and the content redaction rules are applied consistently to every project within the program. The possible private data fields include:
- Comments: some or all Comments fields
- Evidence Notes: similarly, some or all Evidence Notes fields
- Contact information: phone numbers, email addresses, etc. for People and Organizations
- Progress Report Details: the Details fields of progress reports and progress percent reports
- Work planning budgeting codes: work plan fields that are only visible in desktop
